General
- The room tariff is inclusive of buffet breakfast and currently applicable service tax.
- Hotel taxes & charges will need to be paid directly at the time of check in. Credit card charges will be extra @2.25% and will be charged at the time of charging the card.
- The tariffs mentioned are valid for stay only from 7 - 10 January 2010 and for bookings made through K W Conferences Pvt Ltd.
- Booking for the dates outside the secured room block dates, i.e. 7 - 10 January 2010, would be charged at the prevailing rates for those dates.
- The official Check-in time is 14:00 hrs and Check-out time at the hotels is 12:00 hrs. For earlier check-ins and late departures room will need to be booked from the previous night / subsequent night.
- Shuttle Coaches will be available for transport between the official hotels and the venue at fixed times.
- International participants are advised to take their own travel insurance policies before departure from the country of origin. The Organizers/KW Conferences do not take responsibility for any individual, medical, travel or personal insurance.
- International participants are to ensure that their passports, travel documents and visas are valid for travel.
- Hotel rooms have been secured at a special tariff for PEDICON 2010 participants. All participants should book their rooms at the earliest to ensure confirmation. Hyderabad has very heavy demand for hotel rooms.
Last Date for Receiving Booking Requests
- Hotel room booking requests should be received by KW Conferences Pvt Ltd not later than 22nd November 2009 to ensure availability.
- In case of booking requests received after 22nd November 2009 room bookings will depend on availability and prevailing tariffs.
- Un-booked rooms being held for the Congress at discounted rates in all hotels will be released on 23rd November 2009. Any request thereafter would be subject to availability and prevailing tariff.
Payment Terms for Bookings
- The participant's booking for accommodation will be accepted only when it is accompanied by one room night’s tariff. Balance payment to be received before 22nd November 2009.
- Booking requests will be confirmed on receipt of payments either through online payment gateway, or must be accompanied by the participant's credit card details and credit card authorization form for the complete amount. In cases where the card details are provided through mail/fax, bookings will be confirmed subject to verification and clearance with the card company for payment for the duration of stay. Payments can also be made through DD in the name of “KW Conferences Pvt Ltd” payable at Delhi.
- If a credit card payment authorization form is sent by the participant, then payment for one night will be charged immediately and the payment for the remaining days on November 22, 2009.
Cancellation Terms for Bookings
- Requests for cancellations or changes from the original booking must be via email to pedicon2010hotels@kwconferences.com
- In case of cancellations received on or prior to 6th November 2009, the entire booking less applicable taxes and bank transaction charges, if applicable, will be refunded.
- For cancellations received after 6th November till 5th December, 1 night charges plus applicable taxes and bank transaction charges will be deducted, balance payment will be refunded.
- For cancellations received after 5th December 2009 and no shows, no refunds will be made.
- Participants are required to advise their final flight information no later than 22nd November 2009. In case of change in dates of arrival and departure received after 22nd November 2009 there will be no refund. Additionally, no refunds will be applicable in case of late check-in or early check-out.
For changes in arrival/departure dates, received on or after 22nd November 2009, retention charges if applicable due to the change in the booking dates, will be borne by the participant. Additionally, no refunds will be applicable in case of late check-in or early check-out.
